Eligibility rules
The provincial Baseball Québec grid (required level and age per level of play) is applied automatically, with a simple non-blocking indicator. Each association can loosen or tighten the rules — for umpires as well as scorers, who have their own grid (required level).
Certification tracking
Record when each umpire's certification and each scorekeeper's training expire. The software flags certifications that have expired or expire within 60 days — in the officials list, on your dashboard and at assignment time — without ever blocking an assignment.
Assignment preferences
Each umpire sets their preferred levels of play, fields to avoid, weekly game maximum and preferred partners. The coordinator sees these indicators while assigning and can define pairs of officials that should never be paired together.
Assignment suggestions
On the assignment page, every candidate gets an explained score combining eligibility, workload balance, reliability, confirmed availability, preferences and rookie mentoring — the list is sorted from best pick to least.
Rookie mentoring
A first- or second-year umpire is no longer left alone on the field: flag your mentors in one click, and the software pairs them with rookies first when it builds crews. A warning flags a rookie with no mentor, without ever blocking your decision.
Post-game evaluations
After a game, the manager rates each official on the association's own criteria — overall rating, positioning, communication, or custom ones. Officials see their ratings and comments so they can improve, without ever seeing who evaluated them; the average helps spot who needs training.
Workload balance & reliability
A dashboard shows how games are shared among umpires (plate, bases, total) with their reliability rate, exportable to CSV.
Pay rates & payment tracking
Pay-rate grid by level and position. After each game the manager approves each official's attendance (a no-show isn't paid) and marks payments settled with a note. Every official tracks their paid and upcoming earnings.
Travel fees
Add a flat allowance per field, paid to every official who travels there. It's added to the game rate automatically, shown separately in exports, and the amount is locked in at assignment time: adjusting a field never changes pay that's already been calculated.
Payroll exports
Filter payroll by date range, status or official, then export it to CSV: a summary, a line-by-line journal with every game's full context, or a per-official recap ready to prepare your transfers. Each official can carry their federation member number, included in the exports so you can reconcile your figures with federation records without re-keying. You download exactly what you see on screen.
Season management
Manage your seasons with historical archiving. Umpire profiles persist from one season to the next.
Season rollover
Start next season in a few clicks: your officials' recurring availability carries over, commitments included, with no one having to re-enter it. Two seasons can overlap, for playoffs or a fall league.
End-of-season report
A consolidated season summary you can print for your board: games played, coverage rate, each official's activity and reliability, pay by division and withdrawals. Exportable to CSV, and available for past seasons too.
Official's season summary
Each official sees their season at a glance: games by position, hours on the field, earnings, reliability and level progress. A printable certificate, signed by the supervisor, serves as a reference for school or a first job.
Incident reports
After an ejection, abusive behaviour or an unsafe field, the official writes a signed report the same evening, in a common format. Once submitted it can no longer be changed; the manager is notified, tracks it and prints it for the league.
Anonymous reporting for young officials
An official who experiences or witnesses abuse, intimidation or inappropriate behaviour can report it from their phone, without their name being recorded. Only their association's coordinators read it and can reply; the official follows up with a confidential code. 911 and outside resources (Sport'Aide, Quebec's Protector of Integrity in Recreation and Sport) are always shown.
Audit log
Who assigned, removed or changed what, and when: every change to games, assignments, replacements, rates and payments is recorded automatically, with the value before and after. Filter by period, action or person, and export to CSV to settle a dispute.
Personal information (Quebec's Law 25)
A published privacy policy, sensitive information (date of birth, member number, certification expiry dates) visible only to the official and their managers, a complete export of the association's data or of one's own, and removal of a former official's identity on request, without losing the season's history.
